Set the requirement baseline
Record the specification revision, mandatory and preferred criteria, operating conditions, model, configuration and documentation. Identify unknowns and the authorised technical approver.
A disciplined record connects technical requirements, supplier evidence, certificate checks and agreed inspection activities. The scope is specific to the product and contract.

Our government procurement experience informs a rigorous approach to specifications. Inspection is planned—not assumed—and responsibilities are agreed before work begins.
Record the specification revision, mandatory and preferred criteria, operating conditions, model, configuration and documentation. Identify unknowns and the authorised technical approver.
Ask suppliers to respond against the same baseline. Record compliance claims, deviations, missing documents and evidence sources. Unsupported statements remain unconfirmed.
Use approved technical attachments and inspection requirements. Confirm which substitutions or changes need approval. Do not treat a later catalogue or informal message as an approved revision.
Agree characteristics, methods, tolerances, sampling or coverage, instruments, witnesses, reports and acceptance authority. Coordinate qualified specialists where the work requires them.
Record nonconformities, containment, corrective action and retest evidence. Put concessions, cost changes or release decisions to the named buyer approver.
Check required documents, pages, annexes, references and critical details against the project’s document list.
Match the entity, manufacturer, model, specification, standard, certified scope and validity to the requirement and proposed goods.
Where accessible, confirm the number, status and scope through an official registry or issuing body. Record the source, date and unresolved points.
A management-system certificate is not product certification. An authentic certificate does not establish that every delivered item conforms or is suitable for the intended use.
A missing test result or unconfirmed certificate should not disappear into a general “passed” status. Each open point needs evidence, an owner and a next action.
Video review covers only the conditions observed. AQL is used only when an agreed sampling method is suitable; it is not a universal acceptance method for industrial equipment.
